Terms and Conditions

1. Reservations and Deposits: Reservations subject to availability and minimum tour numbers (8), will only be confirmed upon receipt of the completed booking form, together with the deposit, with instalments and balance as per payment schedule.

2. Instalment Payments: Instalment payments are required 6 months prior to departure for all international tours and for a select few of our domestic tours, which you will be notified of at the time of booking.

3. Final Payment: Final payment is due no later than 90 days prior to departure; this will be indicated on your invoice and a reminder sent out.

4. Cancellation of Booking: A cancellation administration fee will be charged at the discretion of ART for compensation of labour and expenses undertaken on behalf of the tour member as follows:

1. Cancellations made 180 days (or more) in advance of the tour commencement date will receive a full refund of all payments made, minus a 10% processing fee.
2. Cancellations made between 90 and 180 days in advance of the tour commencement date will receive a 50% refund of all payments made.
3. Cancellations made 90 days (or less) in advance of the tour commencement date will receive no refund of payments made.

5. Cancellation of Tour: A fee will be charged for compensation of labour and expenses undertaken on behalf of the tour members if a tour is cancelled for unforeseen circumstances or the event is cancelled beyond the control of ART, such as the Covid-19 pandemic ending world travel.

6. Alteration to Tour Prices: The tour fares are based on costs and exchange rates as at the date of printing. In the event of international currency fluctuations or amendments to the itinerary necessitated by unforeseen circumstances, the tour cost will be adjusted accordingly, and the additional cost, if any must be paid by the passenger(s). Should this be unacceptable, the passenger(s) reserve the right to cancel the reservations held, subject to the cancellation charges as detailed in Clause 3 above. Should these changes reduce the tour cost, the applicable refund will be made.

7. Itineraries and Schedules: The tours and packages are based on published airline schedules accommodation, ticket and transfer prices current at the time of printing, which are subject to alteration without notice. ART reserves the right, at its absolute discretion, to alter, change or cancel any such components as it deems necessary, at any time, and without obligation.

8. Minimum Numbers: Tour departure is subject to minimum numbers and if ART deems it necessary to cancel, minimum 180 days’ notice will be given along with a full refund of monies paid.

9. Travel Insurance: It is strongly recommended that all tour participants obtain travel insurance to cover any unforeseen circumstances, including but not limited to trip cancellation, medical emergencies, and lost luggage.

10. Photo and Video: Photographs and video footage will be taken throughout each of our tours. These may be used by Australian Racing Tours for promotional purposes.

11. Health and Fitness: Participants are responsible for ensuring they are in good health and physically capable of participating in the tour activities. Participants with pre-existing medical conditions should consult their healthcare provider before booking the tour and inform ART of any medical conditions that may affect them on tour.

12. Liability: We will not be liable for any loss, injury, or damage to persons or property during the tour, including but not limited to accidents, illness, or theft. Participants are responsible for their own safety and well-being during the tour.

13. Code of Conduct: Participants are expected to behave in a respectful and considerate manner towards other tour members, staff, and the general public. We reserve the right to remove any participant from the tour if their behaviour is deemed disruptive or unacceptable.

14. Privacy Policy: We respect the privacy of our customers and will not disclose personal information to third parties without consent, except as required by law and as required in the ongoing needs of supplying the tour. 15. Governing Law: These terms and conditions are governed by the laws of Australia, and any disputes arising from them shall be resolved in the courts of Australia.

16. Acceptance of Terms: By booking a tour with us, you acknowledge and agree to these terms and conditions.
